Job Number: 2114795The Administrative Assistant provides administrative support to the Executive Team. Under the direct supervision of the Senior Executive Assistant, the Administrative Assistant's duties include administrative and project based work, assists in answering administration calls, type's documents, and supports the Executive Team. Administrative Assistant should project a professional image through personal and phone interaction. Essential Duties and Responsibilities Demonstrates effective communication and problem-solving skills.Administer and perform administrative & clerical support for the Executive Team. Prioritize and manage multiple projects simultaneously, follow through on issues in a timely manner.Prepare and copy meeting materials.Record minutes for the Executive Team and any other committees assigned.Provide general administrative support to the Executive Team with an emphasis on being responsive, professional, and accurate.Performs administrative and office support activities. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing.Transcribe correspondence/reports for the Executive Team.Assist) in preparing minutes at meetings.Keep up-to-date files of all correspondence (incoming and outgoing) and all memos. Keep up-to date files of agreements for the Executive Team. Keep Rolodex/ computerized contacts list of frequently used telephone numbers.As backup, answer telephone (Administration lines) transfer calls to appropriate department/person and take messages for the Administration Department staff.Maintain the Executive Team appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.Assist in meeting scheduling and logistics to include conference phones, projector and food as needed for administration staff and leadership.As backup, maintain Schedules for conference and training rooms.Operate copy machine - including duplicating forms to replenish stock.Receive incoming mail and distribute. Be sure out-going mail from administration is taken to the mail room for processing.Greet visitors to the Administration area and answer questions.Screen patient calls to Administration and decide who can best address their needs. Whenever possible, answer general-type questions regarding accounts.Handle confidential information and matters of discretion in a professional manner.Assist Senior Executive Assistant with special projects. (retreats, events)Represent GVHC as needed in community functions/meetings/events.All other duties as assigned by supervisor.KNOWLEDGEMicrosoft Office Proficient (Word, Excel, Access, PowerPoint)SKILLSPleasant telephone personality. Extensive software skills, Internet research abilities and strong communication skills are required.
